Situation:

Pharmaceutical and life science teams manage regulatory compliance across a tangle of fragmented frameworks, with critical decisions buried in manual processes that took up to 20 days per gap assessment. When I joined during early-stage discovery, there was no unified product, no established UX patterns, and a highly regulated, ambiguous domain that resisted simplification. The challenge was building a single coherent platform that could absorb that complexity without passing it on to the user, while the business itself was still defining what it was selling.

Task:

As lead designer, I was tasked with owning the end-to-end product vision and UX for the entire platform, not a single feature. That meant translating fragmented regulatory frameworks into one unified software architecture spanning assessment, management, and monitoring, and designing every connected surface: onboarding and Account Center, the assessment engine, the management/compliance module, notifications, and the dashboard that ties them together. I had to establish the foundational patterns from scratch and keep them coherent as the product scaled module by module.

Action:

I built the platform as an interconnected system rather than a set of disconnected tools, designing each surface to hand off cleanly to the next:

  • Onboarding & Account Center: Designed and shipped the onboarding MVP, establishing the core data hierarchy (Organization → Company → Facility, with Personnel as a cross-cutting dimension) that every downstream module inherits. This gave users a guided entry point into an otherwise overwhelming domain.
  • Assessment: Reframed assessment as triage. I simplified ambiguous regulatory decision-making into guided flows with clear, bounded states (Missing, Covered, Not Required, Accepted), so users could move through a gap assessment in a day instead of weeks. Integrated AI-driven risk assessment and gap analysis directly into the flow.
  • Management / Compliance: Designed the execution layer where assessment decisions get acted on. Kept it architecturally distinct from assessment, with its own status vocabulary (Active, Pending, Expired) so triage and execution never blur together, and built the bridge between them through auto-generated activities rather than shared visual language.
  • Notifications & Dashboard: Designed the connective tissue that surfaces what needs attention across modules, giving teams a single source of truth for compliance state instead of scattered manual tracking.
  • Shipping process: Integrated AI into the team's own workflow, building a path from insight to prototype to QA inside the production environment, so the end of ideation produces handoff-ready frontend instead of throwaway artifacts. This compressed cycle times across the board and protected the design system as the source of truth.

Result:

Building the platform as a unified system, rather than stitched-together modules, drove measurable business and user outcomes:

  • Business grew from $850K to $4.7M ARR during my tenure, a ~5.5x increase, as the platform matured from MVP to a sellable, multi-module product.
  • Reduced compliance gap assessment time by ~95%, from 20 days to 1 day, by replacing manual processes with guided, automated workflows.
  • Established foundational UX patterns and a reusable component library that let the team ship an iterative MVP and then scale across assessment, management, onboarding, notifications, and dashboard without re-solving core interaction patterns each time.
  • Compressed internal shipping cycle times by integrating AI into the insight-to-prototype-to-QA pipeline, keeping iteration inside the production environment and eliminating separate rebuild phases.
